DIRECTORATE OF STUDENT AFFAIRS (STUDENT REGISTRATION) - Mehmet Akif HANÇER
Our mission is to execute the personal and academic affairs of our students who are admitted to the university through the exam results obtained from Undergraduate Placement Exam, External Transfer Exam, Foreign Student Examination, Preregistration Ability Exam, and Postgraduate Interview Exams according to laws and regulations.
Our University works in accordance with the laws of The Council of Higher Education. Our vision is to execute the personal and academic affairs of our students according to Public Internal Control System by applying proper principles with the aim of providing qualified service. We adopt the principles of new public understanding and apply them in our university.
The Head of Student Affairs Department works in accordance with the General Secretary and the Head of Administrative Organization.
Gaziantep University Student Affairs Department consists of one Head of Department, one Branch Manager, three Chiefs, three Computer Operators, eleven Officials (one of them is the Head of Department’s Secretary), 2 Contracted Staff and 1 Caretaker Staff.

He makes sure that the personal and academic affairs of students are carried out according to law, regulation and University Competent Body’s determinations.
The Branch Manager
The Branch Manager works in accordance with the Head of Student Affairs Department as well as
-Following the execution of the personal and academic affairs of students and the working in Faculty/Vocational School/Institute in accordance with the laws and regulations.
-Working in cooperation with Strategic Development Department, Office of Health, Culture and Sports Department, and Press and Public Relations Department.
-Approving student certificates, military state documents, photocopies of certified documents, transcripts and other related documents which are given to students according to their academic affairs.
-Checking out and initialing official documents concerning the academic and personal affairs of students both in the University and out of the University.
The Head of Department’s Secretary
She arranges telephone calls and informs the officer about the incoming and outgoing documents.
She runs OSYM Statistics, personal and academic affairs of students and follows the running of Faculty of Medicine, Faculty of Medicine (English), Faculty of Dentistry and Faculty of Health Sciences. She is also the controller of Student Automation Program and the Representative of Quality Management.
She runs the personal and academic affairs of the students studying Mechanical Engineering and Physical Engineering.
He runs the personal and academic affairs of the students studying in Medical Services Vocational School, Tourism and Hotel Management and Vocational School.
İbrahim H. FERHAT
He runs the personal and academic affairs of the students studying in Faculty of Economics and Administrative. He is also responsible for material purchase and the maintenance of repair service.
They run the personal and academic affairs of the students studying in Faculty of Education, Physical Education and the Vocational School of Sports.
He runs the personal and academic affairs of the students studying in Physical Sciences Institutes, Social Sciences Institutes, and Medical Sciences Institutes. He also coordinates OSYM Statistics, general statistics, transactions of the student tuition fees. He is the controller of Student Automation Program.
She runs personal and academic affairs of the students studying in Physical Sciences Institutes, Social Sciences Institutes and Medical Sciences Institutes.
Fatma KIRAÇ SÖNMEZ
She runs personal and academic affairs of the students studying in Civil Engineering, Textile Engineering, Industrial Engineering and Faculty of Architecture. He is responsible for the accomplishment of statistics.
She runs the personal and academic affairs of the students studying in Electrical Engineering and Food Engineering.
F. Oylum KOÇYİĞİT
She runs the personal and academic affairs of the students studying in Departments of Archeology, Biology, Chemistry, Mathematics and State Conservatory of Turkish Music. She follows up the procedures and scholarships of Credit and Dormitories Institution.
He runs the personal and academic affairs of the students studying in Sociology Department, History Department, English Language and Literature Department, Turkish Language and Literature Department, and Faculty of Arts and Science. He also follows up the procedures and scholarships of Credit and Dormitories Institution.
He runs the personal and academic affairs of the students studying in Faculty of Theology, Faculty of Communication, Faculty of Law, Faculty of Fine Arts and Naci Topçuoğlu Vocational School.
He runs the personal and academic affairs of the students studying in Gaziantep Vocational School; Electrical Department, Food Quality Control, Machine, Automotive Technology Department, Food Technologies, Construction Technology, Electronic Communication Technology, Gas and Installation Technology, Industrial Molding, Jewelry and Jewelry Designing, Applied Jewelry Technology, Marketing Departments and the evening education of these departments.
She runs the personal and academic affairs of the students studying in Gaziantep Vocational School; Cooking Program, Office Management and Executive Assistant Department, Office Management and Secretaryship Department, Foreign Trade, Accounting, Accounting and Tax Applications, Textile Technology, Business Management, Stock Exchange and Capital Market and the evening education of these programs. She follows up the disciplinary affairs of students.
He runs the personal and academic affairs of the students studying in Gaziantep Vocational School; Banking and Insurance Program, Cattle Husbandry, Computer Programming, Biomedical Equipment Technology, Electronic Technology, Industrial Electronic, Textile Production Program, Mechatronics, Radio and Television Technology, Child Development, Air Conditioning and Refrigeration Technology Departments and the evening educations of these departments.
She runs the personal and academic affairs of Foreign and Erasmus Students as well as doing translation.
He processes student certificate and transcripts, certifies documents, has certificates approved and submits them to students.
He delivers the incoming and outgoing documents and follows up the diploma distributions.
THE PLAN ABOUT THE SYSTEM OF INTERNEL CONTROL ENTRANCE INTO OUR LEGISLATION BASED ON LAW NO 5018
Our purpose is to ensure quorum, efficiency and activities at agencies.
With this plan, it is expected to bring about efficiency, regeneration, transparency and sensitive and quality service to students.
Benefit-oriented principles focusing on student quality, development and flexibility in addition to the wholeness, formality and honesty will be considered.
Staff will consider themselves as a part of the system in a personnel responsibility.
Students will be informed about the conveniences and solutions to their problems will be found.
Staff will behave according to the rules and procedures and be responsible for the results of their performance.
The system will be benefit-oriented focusing on the works of Quality Management System.
-Entering the amounts of tuition fees determined by the University Senates with the approval of the Council of Minister to the system.
-Entering the number of students that will be admitted to our University Faculties and Academies by requesting them from their departments.
-Preparing the lists and identity cards of the new students and providing the brochures and files necessary for the students coming for registration with LYS.
-Registering the students qualified with LYS, DGS, YOS and pre-registered ability and interview exam for Master during the time period accepted by the University Senate.
-Confirming deregistration of the students and informing OSYM about that.
-During the registration period, preparing the residence permission for foreign students and following the acceptance by the Police Department.
-Following the process and carrying out the proceedings of Erasmus Program students.
-Preparing the lists of the students to be selected for the Student Council and ensuring the necessary requirements for the Council.
-Informing the Police Department of foreign students and cases like deregistration and graduation.
-Entering the information of the students coming with pre-registered exams such as TMDK and BESYO.
-Entering the information of the students accepted to Science, Social and Hagiology Programs.
-Giving documents like Student Certificate, Military State Document, Provisional Graduation Document, and photocopies of such documents and transcripts.
-Executing the process of governmental scholarship service.
-Following the process related to students’ postponement and cancellation proceedings with Recruiting Office and Presidency of Soldier Enrollment.
-Receiving the High School Diplomas of the registered students.
-Receiving the files of the students who register to our University from other universities by transition and sending the files of the students registering to other universities by transition.
-Entering any possible information change of the students who get governmental scholarship every month.
-Announcing the students who graduate and deregistering them from the related units.
-Keeping records of student discipline and informing Higher Education Council of that.
-Preparing and announcing the lists of the students to be registered to our university through transition, YOS and Master.
-Preparing various statistics related to students like the statistics of the number of registered and graduated students (requested by YOS, OSYM).
-Executing the process about student tuition fees and making sure that they are entered into the system.
-Checking the courses to be given at each term a week before the registration period of that specific term.
-Preparing the diplomas and related documents of students after the final exams of the related term.
-Ascertaining unregistered students and entering the necessary information about unregistered students into the system in accordance with the decisions of the board of directors.
-Entering the fees of summer school into the system before the registration period.
ARRANGEMENTS OF DIPLOMA CEREMONY
-Preparing the documents of graduation.
-Ascertaining of the honor students of the relevant term and preparing the lists of graduates.
-Preparing the diplomas before the ceremony of diploma.
